Professional Training Terms and Conditions
This document sets out the responsibilities of The Minded Institute and participants enrolled in trainings delivered by Minded Professional Training Ltd and Minded CPD Ltd, collectively referred to in this document as “The Minded Institute”.
All courses and trainings are referred to as “Courses/Trainings”.
Data Protection
The Minded Institute respects participants’ privacy and is committed to protecting personal data.
Personal data is collected for the purposes of processing orders, managing participant accounts, delivering purchased services, and communicating about training-related matters. All data collection and storage procedures comply with the Data Protection Act 2018 and the UK General Data Protection Regulation (UK GDPR).
The Minded Institute is unable to process or fulfil an order without the collection of this personal data.
Participants may request further information regarding the personal data held about them by emailing support@themindedinstitute.com with the subject line “Data protection query”.
Participants are responsible for informing the course leader or The Minded Institute team of any updates to the information provided during registration.
Training Timing and Booking Confirmation
All training times are stated in UK Time (GMT or BST depending on the time of year).
Courses may be delivered online or in person. Participants are responsible for ensuring they understand the mode of delivery prior to booking.
Upon booking an online course, participants will receive an automatic booking confirmation email containing access details and any required materials. If this email has not been received within 24 hours (including junk folders), participants must contact The Minded Institute as soon as possible.
Booking confirmations are sent from info@themindedinstitute.com.
Except where expressly stated within these Terms and Conditions, The Minded Institute does not offer refunds or fee transfers to alternative courses, including the same course delivered on a different date.
Course Fees, Payment, and Booking Conditions
Bookings are confirmed only once full payment has been received. The Minded Institute is unable to reserve places without payment.
Where a booking is made on behalf of another participant, the person making the booking confirms they are authorised to do so.
Course fees are non-transferable to other courses, including the same course delivered on an alternative occasion, except where stated below.
Payment Plans
The Minded Institute may offer bespoke payment plans on a case-by-case basis.
By entering into a payment plan and paying the first instalment, the participant commits to paying the full course fee, and all cancellation and refund terms outlined in this document apply.

Transfer of Booking to Another Participant
The Minded Institute may accept the transfer of a booking to another participant where all of the following conditions are met:

The new participant meets and can evidence all required pre-requisites for the course

The transfer is arranged by the original participant

The Minded Institute is informed of the transfer no less than 7 days before the course start date
Transfers requested less than 7 days prior to the course start date will not be accepted.
Course Cancellation by The Minded Institute
While every effort is made to avoid cancellations, The Minded Institute reserves the right to cancel a course in unforeseen exceptional circumstances.
In the event of cancellation by The Minded Institute, all course fees paid will be refunded within 14 days. The Minded Institute is not liable for any additional expenses incurred, including travel or accommodation costs.
Participants are advised to ensure they have adequate travel insurance.
Changes to Course Dates or Venue
Changes to Course Dates
The Minded Institute reserves the right to change course dates where unavoidable.

If notice is provided more than 7 days before the course start date, participants have 7 days from notification to request a full refund.

If notice is provided 7 days or fewer before the course start date, participants may request a refund up to 24 hours before the training commences.
If a refund is not requested within the applicable timeframe, the participant will no longer be eligible for a refund.
Changes to Course Venue
The Minded Institute may be required to offer a course at an alternative venue.

If the alternative venue remains in person and within 4 miles of the originally advertised location, refunds are not provided.

If the alternative venue is more than 4 miles away, or if the course is moved online, participants will be offered the opportunity to request a full refund within 7 days of notification.
Participant Removal and Conduct
If The Minded Institute, a Guest Lecturer, or Course Facilitator has concerns regarding a participant’s physical or psychological wellbeing or their ability to complete the training safely, The Minded Institute reserves the right to ask the participant to leave the course. In such circumstances, 50% of the course fee will be refunded.
The Minded Institute does not tolerate threatening, abusive, or disruptive behaviour. Participants engaging in such behaviour will be asked to leave immediately and no refund will be provided.
If a participant is unsure whether a course is suitable for them, they are encouraged to contact The Minded Institute for guidance prior to booking.
Participant-Initiated Cancellations and Refund Scale
Where a refund is applicable under these Terms and Conditions, the following refund scale applies:

More than 30 days before course start date: 50% refund

Less than 30 days before course start date: no refund
Course Attendance and Certification
Attendance for the full duration of a course is required.
In unforeseen exceptional circumstances, participants may miss up to 10% of tuition hours and still be eligible for certification. Missing more than 10% of tuition hours will result in no certificate being issued.
Missed sessions cannot be attended on future courses without additional payment.
These attendance parameters differ for the Minded Professional Training Ltd Diploma in Yoga Therapy, which is governed by the Training and Conduct Contract and Student Handbook.
No refunds are issued for non-attendance or failure to complete a course.
Online Training Guidelines
Participants attending online courses are responsible for:

Logging in at least 15 minutes before the session start time

Using an appropriate device (phones are not suitable except where required for accessibility)

Joining from a quiet, distraction-free environment
Failure to log in on time and notify The Minded Institute immediately of technical issues will not entitle participants to a refund.
Camera Use
Participants are expected to have their camera on during online sessions.
If a participant needs to turn their camera off temporarily (for regulation or personal reasons), they must notify the lecturer via private chat. Cameras may be turned off for 5–10 minutes, and up to 30 minutes in exceptional circumstances with lecturer consent.
Turning cameras off for longer than 30 minutes without approval may result in suspension of training for that participant.

Participants requiring reasonable adjustments should contact The Minded Institute in advance.
Online Participation Expectations
Participants agree to:

Limit use of phones and electronic devices except where required for learning or accessibility

Use the Zoom “Raise Hand” feature for questions unless otherwise directed

Remain aware of peers and allow space for all participants to contribute
Where discussion-based sessions are encouraged, participants may engage more freely as directed by the course leader.
If questions cannot be addressed during a session, participants are encouraged to contact the lecturer directly or email admin@themindedinstitute.com for follow-up.
